Adapt FAQ Document for SESF

Based on our previous discussion in this task, we would like to edit the FAQ document that Barb shared and adjust it with the information pertaining to SESF. Most of this information already exists in our previously prepared brochure and strategic plan.
We would like to keep this as a MS Word document so that it is easily shared via email, or easily printed to hand to someone who may be interested.

Hi,
In order to create a monitoring system, it would be important to brainstorm a bit in term of concrete deliverables of the project.
- What are the concrete deliverables that SESF is achieving (will achieve)?
- What is the concrete objective? Let's think on the student. To where they want "to take" the student?
- What are the subjects that are thought in the entity?
sorry to ask so many questions, but with that, I can propose a KPI (Key performance indicator - measurement process) system.

Abdallah-first I must apologize for the lateness of my response to your post. With all of the site changes I am finding it overwhelming to try and keep up with all of the new information coming in and I'm afraid I've missed things. I would like to welcome you to the Khandbari village. I really appreciate your response and I will ask Tejanath to provide additional information to answer your questions.
I think that we might actually need to look at this task in two parts:
1. We need a central place for SESF to keep documentation of all students provided with scholarships. One of the issues they have faced is tracking the progress of the student year to year. This would include things like improvement in their literacy and grading information. Basically things that a new sponsor might want to know in terms of how the money that has been spent has helped other students in the past and how it has made a difference in their life. Tejanath can speak better to this point than I can I think.
2. The other piece that I would like to see us develop is a template report that goes directly to sponsors of the children with updates on the student they sponsor. This would make it easier for SESF to input the information.
Tejanath can you explain more about what is currently done and what might make this process easier for you to track? Also if you could answer Abdallah's questions I think that would be a good place to start.

Hello, I am new to this project, but I'm excited to jump on board!
I think that students are easiest and best monitored by competencies.
I have make up templates for teachers for the subjects they are taught.
You can tell me if you like them.
It is easy for teachers to use scales, like from 1 to 5 to constantly monitor how students are doing.
That way, the students know how well they are doing.

Tejanath, we already have a lot of the answers to a FAQ document in the Strategic Plan we worked on earlier in the year. It would be fairly simple to adapt Barbs' document for SESf sponsorship. It would also be the kind of document you would send out with any emails to interested sponsors. Plus, you could put it up on the new website too. I would be happy to kick start a FAQ based on the info we have in the Strategic plan. Let me know if you'd like me to do this-or perhaps you have already started this?

I changed the name of this task tonight because it hasn't generated much activity. I want to try and clarify what we're looking for here:
Basically, if you sponsored a child through SESF-what information would you want to know about your sponsored child to demonstrate progress? How would you want this to be reported to you? Via email? Letter from the child? Pictures? Grade reports? Right now, sponsors are not receiving information as consistently as they should be. This is something that Tejanath is trying to correct.
For example, for a long while, I sponsored a child in Uganda through an aid organization. A couple of times per year, I received a card with my child's picture and a typed update about how they were doing in school, how things were going at home for them and any major changes since the last update. I also received with this card a letter or picture drawn by the child written in the native language and translated into English.
Once we decide what information sponsors want to know about their sponsored children, we need to devise a template that Tejanath can use and a schedule for when reports need to be sent to the sponsors.
I hope that helps clarify what we're looking for.

Since SESF is a much smaller organisation that others such as World Vision or Caritas etc I would reccommend that we keep the requirements to a minimum. At least in the short-medium term.
If I were sponsoring a child I would like to recieve some information at least once a year. Twice a year would be nice- and more than adequate-but not absolutely necessary.
I would want to know what has happened in that year for that child. So- an overview of school achievments would be good. Basic data like their age and what level they are in at school.
Whilst a hand written note from the child would be very satisfying I think that adminstering this from SESF's point of view could be time consuming and not always easily achievable. Tejanath would be better placed to advise us on that.
Also an annual SESF newsletter (sent with the info about my sponosred child)could alse be informative and give me a sense that the organistion is a) legitimate, b) active, c) keeping donors within their sights.
Lets keep it simple. SESF can always increase the amount of info they send back to donors if they get some momentum with their sponsorship program.
Alyssa or Tejanath correct me if I'm wrong, but it's in the SESF by-laws I believe that sponsors receive updates twice a year.
I like your idea of a newsletter with a general overview of what's been going on with the organization as well as a brief update about the child. I think each of the three objectives you list are incredibly important. You're on the right track with this...it's what we were after for this task.

A while back when Kyomya was looking at child sponsorship, I put together the following. Maybe it will be useful here. It has some 'Frequently Asked Questions" that we put together for prospective sponsors.
As far as tracking the progress of children, at least some basic information should be kept on all children (date of birth, grade, age, etc etc) and maybe school marks can be tracked as well? This would require collaboration with the teachers..
Community and school level info is great too, as mentioned. Plus maybe the project can have a checklist of sorts on what will be done that year, which would be reported to the sponsor. This would show overall that SESF is doing what it says it will and makes them accountable. It could be as simple as a checklist with tickmarks showing what has been done and what still needs to be done. Simple but effective.
But mainly sponsors want to know what is going on in the child's life - what they like, interests, changes, impacts because of sponsorship, etc. So a newsletter is a great idea! There can be a focus on one or two children each edition. Encouraging letter writing as well is good between the child and sponsor, but may be a burden on SESF.
